Job Description

We are seeking an organized and proactive Personal Assistant to join our team and provide support to our senior executives. The ideal candidate will handle a wide range of administrative and executive support-related tasks and work independently with little or no supervision. This individual must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a small office of diverse people and programs. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Strong written and verbal communication skills, decision-making ability, and attention to detail are equally important.


Responsibilities

  • Provide comprehensive support to senior executives to ensure their schedule runs smoothly.
  • Manage and optimize executives’ calendars, scheduling meetings without conflicts.
  • Coordinate travel arrangements, including reservations and itinerary preparation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize meetings by preparing agendas, recording minutes, and arranging venues.
  • Handle requests and queries appropriately and effectively manage inquiries.
  • Assist in the preparation of monthly reports and data organization.
  • Maintain confidential and sensitive information with the utmost discretion.
  • Monitor and respond to emails and ensure information is communicated timely.
  • Conduct research to support the execution of various projects and tasks.
  • Liaise with internal departments and external contacts to fulfill necessary tasks.
  • Track and restock office supplies and manage office inventory needs effectively.

Requirements

  • Proven experience as a Personal Assistant or in a similar role with responsibilities.
  • Excellent written and verbal communication skills essential for the role.
  • Strong organizational and time-management skills, with an eye for detail.
  • Ability to handle sensitive information with the highest level of confidentiality.
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • Bachelor’s degree or equivalent work experience in a related field preferred.
