We are seeking a highly organized and proactive Personal Assistant to join our team and support our executive staff. The ideal candidate will possess excellent communication skills, be adept at multitasking, and have a talent for managing logistics and schedules. This role requires someone who can anticipate the needs of the executives they support and stay one step ahead, ensuring that every detail is in place. As a Personal Assistant, you will handle confidential and sensitive information, so a high level of professionalism and discretion is essential. Responsibilities

  • Coordinate and manage personal and professional schedules for executive staff members.
  • Assist in planning and organizing meetings, including sending out invites and booking venues.
  • Handle all travel arrangements including booking flights, accommodations, and transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Conduct research and gather data to provide executive support on various projects.
  • Act as a point of contact between executives and employees or clients, ensuring efficient communication.
  • Maintain and manage office supplies and equipment to ensure seamless operations.
  • Oversee various administrative functions, including filing, record-keeping, and document management.
  • Screen and direct incoming calls and email communications to appropriate parties.
  • Facilitate and assist with special projects and initiatives as assigned by executives.
  • Coordinate events and social functions, ensuring all details are impeccably managed.
  • Develop and maintain relationships with vendors and service providers on behalf of the company.

Requirements

  • Bachelor’s degree or equivalent experience as a Personal or Executive Assistant.
  • Minimum of 3 years of experience in an administrative support role is required.
  • Strong organizational skills with a keen attention to detail and time management.
  • Excellent verbal and written communication skills are fundamental for this role.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficient with MS Office Suite (Word, Excel, PowerPoint) and scheduling tools.
  • Demonstrated ability to work independently and prioritize multiple tasks effectively.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Experience in coordinating travel arrangements and understanding of global time zones.
