Job Description

We are seeking a dedicated and proactive Personal Assistant to support a busy executive in managing daily tasks and ensuring smooth operations. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking efficiently. In this role, you will be responsible for managing schedules, preparing documents, and coordinating various activities to ensure the executive's productivity is maximized. Additionally, the successful candidate will be adaptable and possess excellent communication skills to liaise effectively with internal and external stakeholders. This position requires discretion, professionalism, and the ability to handle confidential information with integrity.


Responsibilities

  • Manage and organize the executive's calendar, scheduling appointments and meetings.
  • Prepare and coordinate meeting materials, agendas, and conference presentations.
  • Handle incoming correspondence, including emails and telephone calls, effectively.
  • Assist in the preparation of reports, presentations, and other documentation.
  • Coordinate travel arrangements, including flights, accommodations, and itinerary planning.
  • Organize and maintain files, databases, and office systems for efficiency.
  • Conduct research and gather information to support executive decision-making.
  • Liaise with clients, partners, and other stakeholders on behalf of the executive.
  • Manage special projects and tasks as assigned by the executive.
  • Monitor and prioritize the executive's tasks to ensure timely completion.
  • Maintain a high level of confidentiality and professionalism at all times.
  • Provide general administrative support and manage office supplies and equipment.

Requirements

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong organizational skills with the ability to prioritize tasks efficiently.
  • Excellent written and verbal communication skills for effective interaction.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Ability to maintain discretion and confidentiality with private information.
  • High level of adaptability and resourcefulness in a dynamic work environment.
  • Ability to work independently and collaboratively in a team setting.
