Job Description

We are seeking a meticulous and detail-oriented Payroll Specialist / Payroll Manager to join our finance team. The ideal candidate will be responsible for overseeing and managing payroll processes to ensure timely and accurate compensation for employees. This role demands a strong understanding of federal, state, and local tax regulations, as well as hands-on experience with payroll software. The Payroll Specialist / Payroll Manager will collaborate closely with HR and finance departments to address payroll discrepancies and answer employee payroll inquiries. The perfect candidate will possess excellent organizational and problem-solving skills, coupled with the ability to work in a dynamic and fast-paced environment. Responsibilities

  • Oversee the end-to-end payroll process for all company employees.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Verify and process payroll data accurately on a timely basis.
  • Resolve payroll discrepancies and address employee payroll inquiries promptly.
  • Maintain and update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles.
  • Coordinate with HR and Finance departments to ensure consistency and accuracy in payroll processing.
  • Prepare and distribute annual IRS W-2 forms for employees and relevant quarterly reports.
  • Recommend improvements to current payroll processes to increase efficiency and effectiveness.
  • Ensure confidentiality of payroll information by developing a secure payroll system.
  • Stay updated on changes to payroll laws at the federal, state, and local levels.
  • Implement new payroll procedures and policies as needed to meet business requirements.
  • Manage payroll-related documentation and reporting, ensuring regulatory compliance.

Requirements

  • Bachelor’s degree in Accounting, Human Resources, or a related field.
  • At least 5 years of experience in a payroll supervisory or managerial role.
  • In-depth knowledge of payroll processes, systems, and best practices.
  • Proficiency in payroll software such as ADP, Paychex, or SAP is preferred.
  • Strong understanding of federal, state, and local payroll regulations.
  • Excellent attention to detail with strong analytical and problem-solving skills.
  • Ability to communicate effectively with employees at all organizational levels.
  • Organizational skills to manage a high volume of payroll transactions efficiently.
