Job Description

A Payroll Specialist is a key member of the finance and human resources team, responsible for overseeing and managing the entire payroll processing cycle. This role requires meticulous attention to detail, strong analytical skills, and a deep understanding of payroll systems, tax regulations, and labor laws. The Payroll Specialist ensures accuracy in calculating wages, salary payments, benefits, and deductions, and is responsible for resolving discrepancies or issues that may arise during the payroll process. Additionally, this role often involves preparing and maintaining related records, reports, and supporting documentations that are necessary for compliance with governmental and company standards. The Payroll Specialist is also tasked with keeping up to date with changes in payroll laws and regulations and implementing necessary updates to the payroll system and processes. This position is integral to ensuring that employees are compensated accurately and timely, and for maintaining employee trust and satisfaction regarding payroll matters.


Responsibilities

  • Process accurate and timely payroll for all company employees on scheduled pay dates.
  • Validate and reconcile payroll-related data to ensure accuracy and compliance with regulations.
  • Calculate and apply deductions, bonuses, overtime, and adjustments for employee paychecks.
  • Maintain up-to-date records of payroll transactions and employee information securely.
  • Respond swiftly and professionally to payroll inquiries and issues raised by employees.
  • Prepare and distribute required payroll reports to management and relevant stakeholders.
  • Ensure compliance with state and federal regulations related to payroll and taxation.
  • Collaborate with the finance department to assist with audits and financial reporting.
  • Monitor and adjust payroll processing procedures to align with best practices and legal standards.
  • Implement and manage direct deposit transactions and other payment forms for employees.
  • Update payroll systems to reflect any changes to employee statuses or payroll policies.
  • Assist in the training and mentorship of junior payroll staff and department interns.

Requirements

  • Bachelor's degree in Finance, Accounting, Business Administration, or related field.
  • Previous experience with payroll processing for a large organization preferred.
  • Strong proficiency in payroll software and Microsoft Office applications, particularly Excel.
  • Solid understanding of accounting, payroll best practices, and tax regulations.
  • Excellent attention to detail, organizational and time management skills.
  • Strong communication and interpersonal skills to interact with various teams.
  • Certified Payroll Professional (CPP) credential is advantageous but not mandatory.
