Job Description

The Payroll Specialist is an essential role within our organization, responsible for the accurate and timely processing of payroll for all employees. This position demands a meticulous individual with a keen eye for detail, exceptional organizational skills, and a deep understanding of payroll software and practices. As a Payroll Specialist, you will handle employee data, process payroll transactions, and generate essential payroll reports to ensure compliance and accuracy. The ideal candidate will have a background in finance or accounting, with specific experience in payroll management. Additionally, this role involves liaison with various departments to resolve payroll-related queries, ensure statutory compliance, and manage benefits deductions effectively.


Responsibilities

  • Process bi-weekly payroll for all company employees ensuring accuracy and compliance.
  • Maintain and update employee records including personal data and tax information.
  • Reconcile payroll discrepancies by collecting and analyzing information.
  • Calculate and process statutory and voluntary deductions including taxes and benefits.
  • Prepare reports of earnings, taxes, deductions, and leave to ensure compliance.
  • Collaborate with the HR department to manage employee benefits and compensations.
  • Respond to payroll inquiries from employees promptly and professionally.
  • Ensure compliance with all applicable federal and state payroll laws and regulations.
  • Monitor payroll related legislation changes and update company processes accordingly.
  • Coordinate with finance department for reconciliation of payroll and ledger accounts.
  • Assist during audits by providing records and documentation to auditors.
  • Train and support other payroll staff in payroll processing best practices.

Requirements

  • Bachelor’s Degree in Accounting, Finance, or a related field is preferred.
  • Proven experience working as a Payroll Specialist or in a similar role.
  • Proficiency with payroll software like ADP, Paychex, or similar systems.
  • Strong understanding of payroll laws and regulations at state and federal levels.
  • Exceptional organizational and multitasking abilities with attention to detail.
  • Excellent communication skills for resolving payroll-related queries effectively.
  • Ability to maintain confidentiality and security of sensitive payroll information.
