Job Description

The Payroll Specialist is a crucial role in the finance and human resources department, primarily responsible for overseeing the payroll process ensuring timely and accurate compensation for employees. In this role, the Payroll Specialist will manage payroll data, respond to employee inquiries regarding payroll, and ensure compliance with federal, state, and local payroll regulations. This position requires a detail-oriented individual who can maintain confidentiality, analyze data effectively, and communicate with staff across various departments. Familiarity with payroll software and a strong grasp of relevant payroll procedures are essential, as is the ability to resolve discrepancies and suggest process improvements. The Payroll Specialist must also stay updated with changes in employment and tax laws to ensure the organization remains compliant.


Responsibilities

  • Compile and verify payroll data correctly for accurate processing of employee compensation.
  • Process bi-weekly, semi-monthly, or monthly payroll in compliance with regulations.
  • Review and ensure accuracy of approved timesheets; track and reconcile payroll data.
  • Handle issues related to payroll discrepancies and resolve them efficiently and accurately.
  • Maintain payroll operations by adhering to policies and procedures; reporting needed changes.
  • Prepare and distribute employee payroll checks, statements, and direct deposit stubs.
  • Manage payroll deductions, such as taxes, benefits, garnishments, and other withholdings.
  • Collaborate with HR and Finance departments for cross-departmental payroll requirements.
  • Deliver reports detailing payroll expenditures, taxes, and employee earnings effectively.
  • Assist in audits by providing supporting payroll documentation and related reports.
  • Stay updated on and ensure compliance with federal, state, and local payroll laws.
  • Conduct payroll system tests and assist in implementing new payroll software solutions.

Requirements

  • Bachelor's degree in Accounting, Finance, Human Resources, or related field preferred.
  • Minimum of 2 years of experience in payroll management or related field required.
  • Comprehensive understanding of payroll processes and applicable regulations and laws.
  • Proficiency in payroll software like ADP, Paycom, or similar tools is essential.
  • Strong analytical skills and attention to detail for accurate payroll processing.
  • Excellent communication skills with an ability to handle confidential information ethically.
  • Efficient problem-solving capabilities and ability to work independently under deadlines.
