Job Description

The Payroll Specialist plays a crucial role in ensuring that employee compensation is processed accurately and on time. As a key member of the finance or human resources department, the Payroll Specialist is responsible for managing payroll processes, preparing reports, and ensuring compliance with federal, state, and local regulations. The ideal candidate will have an exceptional ability to understand and utilize various payroll systems and software, ensuring precise financial records. Skills in problem-solving and communication are essential as the Payroll Specialist often serves as a point of contact for both employees and management regarding payroll-related inquiries. This position requires close attention to detail and accuracy to maintain the integrity and confidentiality of payroll data.


Responsibilities

  • Process payroll for all employees accurately and on schedule every pay period.
  • Maintain and update payroll information by collecting and entering employee data.
  • Review and verify timesheets, work charts, wage computation, and other information.
  • Issue and record adjustments to pay-related errors, ensuring correctness and compliance.
  • Coordinate with HR to update and maintain employee payroll records after evaluations.
  • Ensure compliance with all federal, state, and local payroll tax regulations.
  • Prepare and distribute payroll reports to finance and management teams as needed.
  • Serve as a point of contact for employees regarding payroll and deductions inquiries.
  • Manage, analyze, and resolve pay discrepancies and provide timely payroll information.
  • Coordinate with external auditors and provide reports required for audits and inspections.
  • Stay updated with changes in payroll laws and regulations to prevent compliance issues.
  • Work with finance to manage the company's payroll budget and projections effectively.

Requirements

  • Bachelor's degree in Accounting, Finance, Human Resources, or related field preferred.
  • Proven experience as a Payroll Specialist or in a similar payroll position required.
  • Strong understanding of payroll processes and relevant legal regulations is essential.
  • Proficiency in payroll software such as ADP, QuickBooks, or similar programs.
  • Exceptional attention to detail and strong analytical skills are necessary for this role.
  • Excellent communication skills to handle sensitive information and address inquiries.
  • Ability to work under pressure and handle multiple tasks while meeting deadlines.
