Job Description
Job Summary
The Operations Supervisor is responsible for managing all daily ground and feeder operations, leading a large, diverse team of over 100 employees across functions including drivers, dispatch, and Service resolution teams. This critical management role involves ensuring service excellence, optimizing processes, and maintaining stringent cost control. Key responsibilities include managing the performance of multiple External Outsource Service Providers (OSPs), driving a culture of safety, and utilizing data-driven analysis to improve efficiency, reduce costs, and ensure all operational targets are consistently exceeded.
Key Responsibilities
- Team Leadership & Management
Supervise Staff: Directly manage and lead a team of operations staff, which may include drivers, warehouse personnel, dispatchers, and administrative clerks.
Training & Development: Train new hires and provide ongoing coaching to existing team members on standard operating procedures (SOPs), safety protocols, and new technologies.
Performance Management: Conduct regular performance reviews, set goals, and address any performance issues through coaching or disciplinary action.
Scheduling: Create and manage staff schedules, assign daily tasks, and approve timesheets to ensure proper coverage for all operational needs.
Motivation: Foster a positive and productive work environment, promoting teamwork and motivating staff to meet departmental goals.
- Operational & Process Management
Oversee Daily Workflow: Manage all day-to-day operations, such as shipping, receiving, sorting, loading, and dispatch, ensuring all processes run smoothly and efficiently.
Process Improvement: Continuously analyze current workflows to identify bottlenecks and implement process improvements to increase efficiency, reduce errors, and lower costs.
Resource Allocation: Manage the allocation of all resources, including personnel, equipment (like forklifts or vehicles), and supplies, to meet operational demands.
Problem-Solving: Act as the first point of contact for any operational issues, such as shipping delays, incorrect shipments, or equipment breakdowns, and resolve them promptly.
- Performance, Cost & Quality Control
Monitor KPIs: Track and report on key performance indicators (KPIs), such as on-time delivery rates, packages per hour (PPH), cost per package, and inventory accuracy.
Cost Management: Monitor departmental spending, manage overtime, and control operational costs to stay within the established budget.
Quality Assurance: Ensure all shipments are processed accurately, handled correctly to prevent damage, and meet all customer and company standards.
Reporting: Prepare and present regular reports on operational performance, challenges, and improvements to senior management.
Enforce Safety Protocols: Champion a "safety-first" culture by ensuring all staff strictly adhere to health and safety regulations (e.g., proper lifting techniques, equipment operation).
Conduct Audits: Perform regular safety audits and inspections of the work area and equipment to identify and correct potential hazards.
Compliance: Ensure all operations comply with company policies, transportation laws, and relevant industry regulations (e.g., customs documentation, hazardous materials handling).
- Vendor & Customer Coordination
Manage Vendors: Liaise with third-party vendors, such as freight carriers, customs brokers, and maintenance providers, to ensure they meet service level agreements (SLAs).
Customer Service: Serve as an escalation point for complex customer inquiries or complaints, working to resolve their issues and maintain good relationships.
Cross-Departmental Collaboration: Work closely with other departments, such as sales, customer service, and finance, to ensure seamless end-to-end operations.
Qualifications
- Bachelors Degree or International equivalent
- Excellent knowledge of Microsoft Word, Excel, Access, and Outlook
- Ability to lift 70 lbs./32 kgs
- Availability to work flexible shift hours, up to 5 days per week.
- Strong oral and written communication skills
