We are seeking a highly organized and detail-oriented Personal Assistant to support our Partner in a fast-paced hospitality and entertainment environment. The ideal candidate will play a key role in managing executive scheduling, coordinating artist and VIP logistics, and supporting operations across nightlife, events, and business projects. This position requires strong organizational skills, discretion with sensitive information, and the ability to manage multiple priorities under pressure.
Key Responsibilities
Executive & Personal Assistance
Manage the Partner's calendar, appointments, meetings, and travel arrangements.
Screen and prioritize emails, phone calls, and correspondence.
Prepare reports, presentations, meeting agendas, and other business documents.
Coordinate personal and business-related errands as required.
Maintain confidential records and handle sensitive information with discretion.
Organize meetings, take minutes, and follow up on action items.
Liaise with internal departments and external stakeholders on behalf of the Partner.
Artist Coordination
Coordinate directly with artists, DJs, booking agents, tour managers, and management teams before, during, and after events.
Ensure all artist riders are received, reviewed, and fulfilled in collaboration with relevant departments.
Arrange flights, hotel accommodations, airport transfers, local transportation, and itineraries.
Prepare detailed artist schedules and distribute them to relevant operational teams.
Coordinate backstage requirements, dressing rooms, hospitality, and VIP requests.
Serve as the main point of contact for artists and their teams while they are on-site.
Resolve last-minute logistical issues efficiently and professionally.
Ensure contractual obligations relating to artist logistics are executed correctly.
Operations & Event Support
Assist with planning and coordination of nightclub events.
Work closely with Operations, Marketing, Security, VIP, Finance, and Production teams.
Monitor event timelines and ensure all logistical elements are completed on schedule.
Coordinate guest lists and VIP requests when required.
Assist with post-event reporting and reconciliation of artist-related expenses.
Administrative Duties
Maintain accurate filing systems and records.
Process invoices, expense claims, and purchase requests.
Track payments related to artist logistics where applicable.
Support various business projects as assigned by the Partner.
Qualifications
Bachelor's degree preferred.
Minimum 3 years' experience as an Executive or Personal Assistant, preferably within hospitality, nightlife, entertainment, or events.
Previous experience coordinating artists or VIP guests is highly desirable.
Excellent verbal and written communication skills in English (additional languages are an advantage).
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with scheduling and travel management.
