Order Management Coordinator
Location: Dubai, United Arab Emirates
Experience: 3–5 years
About the Company
Our company is a Dubai-based organization seeking a dependable professional to support accurate, timely order and finance operations. The team values disciplined execution, clear communication, and reliable coordination across commercial, finance, warehouse, and operational stakeholders. This role contributes to maintaining strong transactional controls while supporting a high-volume business environment where priorities can change quickly. The successful candidate will join a practical, collaborative workplace that expects ownership, accuracy, and sound judgement in daily operations. The organization is looking for someone who can work confidently with minimal supervision, identify discrepancies early, and help keep order, invoice, and stock information aligned. This is an opportunity to contribute directly to dependable business operations while building broader exposure across order management, accounts payable, and finance-related processes in Dubai.
About the Role
As Order Management Coordinator, you will own the accuracy and flow of purchase and sales orders from entry through fulfilment and financial coordination. You will connect order data with invoices, stock records, and accounts payable information, ensuring discrepancies are identified and resolved promptly. The role requires strong Excel capability, practical accounting-system experience, and confidence coordinating across teams. You will also support prioritisation during busy periods, communicate status clearly, and work with limited supervision. Where required, you may guide or supervise team members and help strengthen consistent processes. Your work will reduce transaction errors, improve visibility across operations, and support reliable customer and supplier service.
Key Responsibilities
- Coordinate purchase and sales orders from receipt through completion, maintaining accurate records in relevant accounting and operational systems. This supports timely fulfilment and reduces avoidable order-processing errors.
- Reconcile order, invoice, accounts payable, and stock information regularly, investigating variances and securing corrections. Accurate reconciliation protects financial controls and improves confidence in operational reporting.
- Monitor order status, priorities, and outstanding actions across internal teams and external stakeholders. Timely follow-up helps prevent delays, missed commitments, and incomplete transactions.
- Use Excel to analyse transactional data, identify exceptions, and prepare clear operational or finance-related reports. Reliable analysis enables faster problem-solving and better day-to-day decisions.
- Coordinate with finance, sales, procurement, warehouse, and operations teams to resolve issues and maintain aligned information. Clear communication keeps workflows moving across the full order cycle.
- Manage high-volume transactional work with strong attention to detail, meeting deadlines during peak-season pressure and changing priorities. Consistent execution protects accuracy when workload increases.
- Support or supervise team members where required, reinforcing documented processes, accountability, and quality standards. Effective guidance improves consistency and strengthens overall order-management performance.
Essential Skills & Technologies
- Demonstrated experience coordinating purchase and sales orders, with practical understanding of accounts payable and finance or operations workflows. This foundation supports accurate execution across the complete transaction cycle.
- Strong Excel skills and hands-on experience with accounting systems are essential for maintaining records, reconciling data, and producing dependable reports. Technical confidence improves speed and control.
- Strong analytical, problem-solving, communication, and prioritisation skills are required. You must work accurately with minimal supervision and remain adaptable under tight deadlines and peak-season pressure.
- High attention to detail and proven accuracy in high-volume transactional work are essential. The role depends on identifying inconsistencies before they affect invoices, stock, or fulfilment.
Additional Plus
- Experience in a large-scale trading company is advantageous because it provides exposure to complex order volumes, multiple stakeholders, and commercially important transaction controls.
- Experience handling or supervising a team is a plus. It can help you coordinate priorities, reinforce process discipline, and support consistent performance across colleagues.
- At least two years of professional experience in Dubai is preferred. Familiarity with the local business environment can support smoother communication and operational coordination.
What You'll Bring
- You will bring a bachelor’s degree in Accounting, Business Management, or a related field, together with three to five years of relevant order management, finance, accounts payable, or operations experience. At least two years of Dubai experience is expected.
- You should be comfortable coordinating purchase and sales orders, reconciling order, invoice, and stock data, and working within accounting systems. Strong Excel capability is important, but equally valuable is the judgement to investigate discrepancies and resolve them thoroughly.
- You will be organised, accurate, and able to prioritise competing requests without losing control of deadlines or documentation. Clear written and verbal communication will help you coordinate effectively with finance, sales, procurement, warehouse, and other operational teams.
- You should adapt well when priorities change, remain dependable during high-volume or peak-season periods, and work confidently with minimal supervision. Experience supporting or supervising colleagues, particularly in a large-scale trading environment, will strengthen your fit for the role.
