Order Execution Executive

This position works out of our UAE location in the Abbott Rapid Diagnostics – Infectious Diseases.

What Youll Do-

• Understanding the commercial team objectives and connecting, the process of converting request for quotation à quotation à PO, with the commercial team financial goals, to achieve the annual sales objectives.
• Lead RFQ process starting from receiving the RFQ till obtaining PO & handling post QT queries.
• Read with deep understanding of customers’ queries and requests & ask if not clear.
• Getting all required details and documents (Weight & Dims, freight costs from logistics and filling in the details for pricing, weights, dimensions, Palletization, and packaging after double checking the provided data, QA documents, RA documents … etc)
• Ability to process the request for quotation (RFQ) received by customers and fill in all the needed data accurately / Ability to utilize all share points and SAP to optimize the process and improve the required time to process the QT.
• Once the purchase order is received, full review and validation of the purchase order details and linking it with the right external and internal stakeholders, making sure that purchase order is clean, and details are accurate (pricing, lead times, freight costs, registration status…etc).
• Align with Regulatory and Quality teams on the products registration status, quality approval and ability to ship from Regulatory and Quality perspective at QT stage to avoid any delay.
• Updating prices on internal trackers and SAP to improve the inclusion process.
• Record the RFQ, QT & PO dates, values … etc.
  
  

General Requirements

• Manage RFQ process and tracking systems to ensure accurate and timely fulfillment of customer queries.
• Collaborate with all cross functions (commercial, customer service, and warehouse teams ..etc) to fulfill customers queries with high accuracy and on time.
• Maintain accurate records of RFQ, QT and influence customers and concerned internal departments to obtain the POS.
• Revise POs & Coordinate with all cross functions ensuring optimized RFQ journey to a clear PO without discrepancies.
• Communicate with customers in professional way & building a business relationship with them.
• Generate reports on RFQ journey, including key performance indicators and areas for improvement.
• Stay current with the latest processes, technologies, and industry trends through collaboration with Commercial excellence & business intelligence team along with external vendors.
• Identify opportunities for process improvement and collaborate with cross-functional teams to implement enhancements.
• Special focus on the main KPIs, Improving RTQ age (request to Quotation), Accurate data entry, Commercial alignment & eliminate discrepancies.
  
  

Required Qualifications – Education / Experience / Skill

• Bachelor’s degree in business or related field.
• Commercial background with the ability to link the RFQ process with the commercial team objectives / strategic thinking.
• Previous experience in Quotations submission, supply chain, or related field.
• Excellent organizational, communication, and customer service skills.
• Strong attention to detail and ability to manage multiple tasks simultaneously / Global or regional experience is added value.
• Ability to thrive in a fast-paced environment and meet tight deadlines / sense of urgency.
• Proficiency in Microsoft Office Suite and order management systems.
• Knowledge of basic accounting principles and inventory management concepts
• Excellent team worker and collaboration skills.
• Problem solving skills & ability to overcome obstacles.
