Job Description

An Office Services Assistant plays a crucial role in maintaining the efficiency and effectiveness of day-to-day office operations. This position serves as the backbone of a professional environment by handling a variety of tasks designed to ensure a smooth workflow within an organization. The Office Services Assistant is responsible for providing administrative support, managing office supplies, and communicating with internal and external stakeholders to facilitate seamless operations. Being detail-oriented and possessing excellent organizational skills are essential in this role, as the assistant often manages several tasks simultaneously. The role also requires good interpersonal and communication skills since the assistant frequently interacts with team members at all levels. Responsibilities

  • Manage and distribute incoming and outgoing mail and packages efficiently.
  • Maintain and manage office supplies inventory, ensuring supplies are well-stocked.
  • Provide administrative support to staff, including copying, faxing, and data entry tasks.
  • Assist in arranging and scheduling meetings, conferences, and teleconferences for staff.
  • Handle internal and external communications, distributing information as required.
  • Ensure all office areas are organized, clean, and properly maintained regularly.
  • Conduct basic troubleshooting with office equipment, resolving minor issues independently.
  • Coordinate with vendors and service providers for office equipment maintenance and repairs.
  • Assist in the preparation and dissemination of office reports and presentations.
  • Support new employee onboarding by setting up workstations and providing office tours.
  • Manage the office calendar, ensuring all appointments are appropriately scheduled.
  • Collaborate with office staff to implement new office processes and improvements.

Requirements

  • High school diploma or GED is required for this position.
  • Prior experience in an office administration or relevant role is preferred.
  • Excellent organizational skills and attention to detail are necessary.
  • Strong verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to multi-task and prioritize work in a fast-paced environment.
  • Strong problem-solving skills with the ability to troubleshoot basic issues.
