Job Description

The Office Services Assistant is a key role within any organization, providing essential support to ensure that the office operates smoothly and efficiently. This role involves a wide range of responsibilities including administrative support, facilities management, and general office maintenance. Responsibilities

  • Manage and coordinate the daily operations and activities of the office.
  • Maintain office supplies by checking inventory and ordering items as needed.
  • Organize and schedule meetings, appointments, and travel arrangements for executives.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Develop and implement office policies by setting up procedures and standards.
  • Act as the point of contact between internal and external clients and partners.
  • Coordinate repairs and maintenance of office equipment and facilities with vendors.
  • Ensure compliance with health, safety, and security regulations in the office environment.
  • Handle sensitive information in a confidential manner, ensuring data protection.
  • Facilitate in organizing company events, meetings, and conferences effectively.
  • Manage digital filing systems, record management, and data entry tasks systematically.
  • Welcome guests and handle client inquiries in a courteous and professional manner.

Requirements

  • Proven experience as an office assistant or in a related administrative role.
  • Excellent written and verbal communication skills for effective interaction.
  • Strong organizational skills with the ability to multitask efficiently.
  • Knowledge of office procedures and basic accounting principles is essential.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is required.
  • Detail-oriented mindset and the ability to work independently without supervision.
  • High school diploma or equivalent; additional qualifications in Office Administration is a plus.
