Job Description

An Office Manager plays a crucial role in the organization's daily operations and is responsible for managing administrative support and services. This position involves overseeing office procedures, coordinating office activities, and ensuring efficient office operations. The Office Manager will also be responsible for managing office supplies and equipment, preparing reports, developing and implementing office policies, and supervising administrative staff. Strong organizational, time management, and communication skills are essential, as is the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a proactive and detail-oriented individual with a proven track record in office management, capable of improving operational efficiency and contributing to the smooth functioning of the organization.


Responsibilities

  • Oversee daily office activities to ensure smooth operations and workflow.
  • Manage office supplies inventory and place orders as necessary to avoid shortages.
  • Coordinate and schedule meetings, appointments, and conferences for staff and management.
  • Develop, implement, and improve office policies and procedures to enhance efficiency.
  • Supervise administrative staff and provide guidance and performance evaluations.
  • Maintain a safe, clean, and organized office environment adhering to company policies.
  • Prepare and manage reports, documents, and presentations for management as needed.
  • Handle sensitive information confidentially and maintain digital and physical records securely.
  • Facilitate communication within the office and serve as a liaison between departments.
  • Ensure office equipment is properly maintained and arrange repairs when necessary.
  • Assist in the development of office budget and monitor expenditures responsibly.
  • Plan and coordinate office events, trainings, and team-building activities as required.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferable.
  • Proven experience of at least 3 years in an office management role.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Strong written and verbal communication skills for effective interactions.
  • Proficiency in Microsoft Office Suite and standard office management software.
  • Ability to manage and supervise a team ensuring high productivity and cooperation.
  • Demonstrated ability to handle confidential information with utmost discretion.
