Pacha New York is a large-scale music and nightlife venue located in Brooklyn, presenting global electronic artists, live performances, and cultural programming. As part of The Pacha Group’s international portfolio, the venue combines advanced production technology, hospitality services, and community-focused programming to create a leading destination for music and entertainment in New York City.

Position Overview

Pacha New York is looking for an experienced and highly organised Office Executive Assistant to support the Executive Office in a fast-paced, high-volume nightlife and live entertainment environment. This role plays a key part in ensuring seamless administrative and operational support to senior leadership, enabling efficient coordination across venue operations, events, and corporate functions while maintaining the highest standards of professionalism, discretion, and execution.

Key Responsibilities

  • Provide comprehensive administrative support to senior leadership and the Executive Office
  • Manage complex calendars, scheduling, and meeting coordination across internal teams, partners, and external stakeholders
  • Coordinate and support meetings related to venue operations, programming, events, and corporate functions
  • Prepare agendas, briefing materials, presentations, and reports for leadership meetings
  • Draft, review, and manage professional correspondence and internal communications
  • Act as a key point of contact between the Executive Office and internal departments, promoters, partners, and external stakeholders
  • Take detailed meeting minutes, track action items, and ensure timely follow-up and execution
  • Support travel planning and logistics for senior leadership as required
  • Maintain organised filing systems, contracts, and operational documentation
  • Assist with expense tracking, invoice coordination, and administrative reporting
  • Handle confidential, commercially sensitive, and operational information with a high level of discretion

What We’re Looking For

  • 3–5 years’ experience in an Executive Assistant, Office Executive, or similar role supporting senior leadership
  • Experience in nightlife, live entertainment, hospitality, events, or a fast-paced operational environment preferred
  • Proven ability to manage multiple priorities, complex schedules, and competing deadlines
  • Strong organisational skills with exceptional attention to detail
  • Excellent written and verbal communication skills in English
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong stakeholder management skills with the ability to work across cross-functional teams
  • Proactive, solutions-oriented, and able to operate independently in a dynamic environment
  • Flexible approach to working hours in line with nightlife and event operations

Benefits Overview

Eligible employees may receive comprehensive benefits including medical, dental, and vision insurance; paid time off; company holidays; and participation in retirement savings programs in accordance with company policy and applicable law.

Salary Range: USD 65,000 – 75,000 per year (Final compensation determined based on experience, skills, and internal equity)
