Job Description

An integral part of any organization, the Office Assistant is responsible for maintaining the smooth operation of the office by performing a variety of administrative and clerical tasks. The role involves supporting managers, staff, and visitors, ensuring efficient communication and coordination of various office tasks. Responsibilities

  • Assist in the preparation and coordination of communications and appointments.
  • Manage and prioritize incoming and outgoing correspondence, including emails and phone calls.
  • Maintain office equipment and manage inventory of office supplies and resources.
  • Coordinate and organize office activities and meetings, ensuring all logistics are handled.
  • Provide administrative support to senior managers and other staff as needed.
  • Ensure proper filing systems are maintained for easy retrieval of documents.
  • Assist in the preparation of reports, presentations, and data entry tasks.
  • Greet and assist visitors, ensuring they feel welcomed and directed appropriately.
  • Maintain a clean, organized, and tidy office environment at all times.
  • Collaborate with other departments to ensure seamless operation of office tasks.
  • Perform general clerical duties such as photocopying, faxing, and mailing.
  • Manage and update office records, ensuring accuracy and confidentiality.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an office assistant or relevant administrative role.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and office equipment.
  • Excellent verbal and written communication skills are required.
  • Strong organizational and time-management skills, with attention to detail.
  • Ability to handle multiple tasks with high accuracy and efficiency.
  • Reliable, punctual, and able to maintain confidentiality of sensitive information.
