Job Description

We are seeking a diligent and detail-oriented Office Assistant to support our administrative team. As an Office Assistant, you will be the backbone of our office operations, ensuring that everything runs smoothly and efficiently every day. You will handle a variety of tasks, providing administrative support to ensure the seamless functioning of our office environment. Your role will be multifaceted, requiring excellent time-management skills and the ability to juggle different priorities efficiently. From managing communications to organizing paperwork and assisting with clerical tasks, your contributions will be vital to our success. Responsibilities

  • Manage the front desk by answering calls, welcoming visitors, and directing them appropriately.
  • Maintain and organize office files and records, ensuring everything is accessible and orderly.
  • Assist in preparing reports, memos, and other documents by gathering required information.
  • Support office staff with their administrative needs and provide clerical assistance as needed.
  • Coordinate meetings by scheduling appointments, preparing agendas, and organizing meeting spaces.
  • Monitor and order office supplies, ensuring supply levels are maintained and costs are controlled.
  • Handle incoming and outgoing mail, packages, and courier services efficiently and timely.
  • Maintain cleanliness of the front office, ensuring a neat and welcoming environment.
  • Assist in special projects and assignments as required by management or staff members.
  • Perform data entry tasks accurately and maintain the office database updated regularly.
  • Coordinate travel arrangements for staff, including bookings and itinerary management.
  • Handle inquiries and provide appropriate information or redirect as necessary to the suitable departments.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an office assistant, administrative assistant, or similar role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent written and verbal communication skills are necessary.
  • Strong organizational skills with a keen attention to detail and ability to multitask.
  • Ability to work independently as well as part of a team within a fast-paced environment.
  • Friendly personality with outstanding telephone etiquette and customer service skills.
