Job Description

As an Office Assistant, you'll be a vital part of ensuring smooth and efficient operations within our company. Responsibilities

  • Manage and organize the scheduling and calendar of senior office staff.
  • Answer and direct phone calls, taking messages as necessary.
  • Maintain and update company databases and office filing systems.
  • Order and manage office supplies and handle supply inventory.
  • Assist in preparing and editing correspondence, communications, and other documents.
  • Support the preparation and coordination of meetings and conferences.
  • Provide support in processing invoices and office-related billing activities.
  • Handle incoming and outgoing mail, packages, and courier services efficiently.
  • Provide hospitality services such as arranging refreshments for meetings.
  • Assist with the onboarding process for new hires, ensuring a smooth transition.
  • Produce reports, presentations, and briefs as required by management.
  • Support office team with administrative projects and day-to-day tasks as needed.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Minimum of 2 years experience in a similar office administrative role.
  • Proficient in Microsoft Office Suite and other relevant office software.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills, with attention to detail.
  • Ability to multitask and meet tight deadlines in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive company information.
