Job Description

As an Office Assistant, you play a pivotal role in ensuring the smooth operation of an organization's daily activities. Your primary responsibility is to support the office staff and manage routine clerical and administrative tasks efficiently. You are the backbone of the office, coordinating communication and maintaining various administrative processes critical to the office’s success. The ability to multitask, maintain organization, and communicate effectively within a fast-paced environment is vital. Your role may also involve handling sensitive information, managing office supplies, and ensuring all equipment is in operational condition. The ideal candidate should be proactive, detail-oriented, and possess excellent problem-solving skills.


Responsibilities

  • Manage and distribute incoming and outgoing mail and correspondence effectively.
  • Maintain and update office files, databases, and documentation accurately.
  • Answer and direct telephone calls and handle inquiries professionally.
  • Schedule and coordinate appointments, meetings, and office events seamlessly.
  • Assist in preparing meeting agendas, minutes, and follow-up actions punctually.
  • Order and manage office supplies and inventory to ensure availability.
  • Coordinate with vendors for equipment maintenance and office repairs.
  • Provide clerical support to various departments as requested by management.
  • Maintain confidentiality of sensitive and proprietary information diligently.
  • Assist in creating and maintaining organized filing systems and records.
  • Compile and prepare routine reports and summaries for management review.
  • Support office staff with special projects and tasks as assigned efficiently.

Requirements

  • High school diploma or equivalent educational qualification is required.
  • Prior experience as an office assistant or in a related administrative role.
  • Proficiency in using MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills with attention to detail.
  • Excellent verbal and written communication skills and professional demeanor.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Strong problem-solving skills and a high degree of confidentiality.
