Office Administrator

Sony Music ME is the leading international label in the MENA region operating within the Arabic music space, and has released some of the biggest songs in the Arab world. The label is headquartered in Dubai, working across a vast region comprising Egypt, Levante, GCC and Pakistan. The company functions aross A&R, Artist Liaison, Arabic Marketing, International Marketing, Communications, Digital Business, Business Affairs and New Business/ Licensing.

We are looking for an Office Administrator to keep the Dubai office running smoothly across all areas of day-to-day office and administrative operations – from government paperwork and supplies through to travel, events and executive support. This role would suit a proactive, positive, helpful and highly organized individual, comfortable problem solving and reacting to the everyday administrative and functional activities around the office.

What you'll do:

• Office & facilities management – maintain day-to-day office operations including kitchen and office supplies, IT and cleaning suppliers, deliveries, PO Box checking, parking bookings and F&B for meetings and guests (coffee, tea etc.), keeping the office running smoothly
• Government & PRO administration – manage visa applications and employee visa renewals, Free-Zone visa processing, trade licence and establishment card renewals, RTA card applications, Tecom permits, insurance and medical insurance renewals; raise Purchase Orders and support legal admin tasks.
• MD & executive support – provide support to the MD including travel and expense management (Concur), VIP handling for artists and partners visiting Dubai, gifting / relationship touches and support to marketing events.

Who you are:

• Previous Experience: Office administration, PRO or executive support within a fast paced, modern, creative office environment, ideally in the UAE
• Education: Good character, team spirit and an obsession with detail, comfortable owning a busy and varied workload
• Skills: Highly organized, competent in Microsoft Office, able to navigate UAE Government and Free-Zone systems, manage schedules and suppliers, helpful to others, kind and considerate.
