About The Opportunity

A dynamic trade and logistics firm operating across the UAE’s import-export ecosystem, we specialize in cross-border supply chain orchestration, documentation, and compliance for B2B clients. Our fast-paced, detail-driven environment demands precision, proactive coordination, and seamless administrative support to keep global shipments moving—on time, on budget, and with zero paperwork friction.

Role & Responsibilities

  • Manage daily office operations including scheduling, filing, mail handling, and vendor coordination to ensure smooth workflow.
  • Prepare and process shipping documentation, invoices, customs forms, and trade compliance paperwork with high accuracy.
  • Support procurement and logistics teams with order tracking, delivery confirmations, and supplier communication.
  • Coordinate meeting rooms, travel arrangements, and executive calendar management for senior staff.
  • Maintain digital and physical records in compliance with UAE customs and commercial regulations.
  • Act as first point of contact for internal and external stakeholders—fielding inquiries, routing requests, and escalating issues.

Skills & Qualifications

Must-Have

  • Microsoft Office Suite (Word, Excel, Outlook)
  • Document management systems
  • Trade documentation (commercial invoices, packing lists, bills of lading)
  • UAE customs regulations awareness
  • Basic accounting or invoicing software
  • Data entry and record-keeping accuracy
  • ERP or logistics software (e.g., SAP, TMS, or similar)
  • Business communication (written and verbal)

Preferred

  • Experience in import/export or freight forwarding environments
  • Arabic language proficiency (written or spoken)
  • Familiarity with UAE Ministry of Economy or Dubai Customs portals
