We are seeking a highly organized and proactive NI Admin Coordinator to join our team at TK Elevator UAE L.L.C, based in Dubai, within the DXB Instal department. This role is essential in ensuring the smooth administrative operations supporting our installation projects and operational teams.
Key Responsibilities:
Provide comprehensive administrative support to the DXB Instal department, including managing correspondence, scheduling meetings, and coordinating communications among teams.
Maintain accurate and up-to-date project documentation and records, ensuring compliance with company policies and legal requirements.
Coordinate logistics and resource planning to support installation projects, working closely with technical teams and external vendors.
Assist in the preparation and processing of procurement and invoicing documents, collaborating with finance and supply chain departments.
Monitor project timelines and deliverables, proactively identifying and addressing potential administrative bottlenecks.
Organize and maintain electronic and physical filing systems for project and departmental information.
Support the onboarding and training processes for new team members within the department.
Contribute to continuous improvement initiatives by suggesting administrative process enhancements that increase efficiency and effectiveness.
Qualifications and Skills:
A minimum of a high school diploma, with preference given to candidates holding additional qualifications or relevant certifications in administration, project coordination, or related fields.
Proven experience in an administrative or coordination role, ideally within construction, installation, or engineering environments.
Strong organizational skills with keen attention to detail and the ability to manage multiple tasks simultaneously under tight deadlines.
Excellent communication abilities, both written and verbal, to facilitate clear interaction with internal teams and external partners.
Proficiency in standard office software applications, including Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Familiarity with project management tools and systems is an advantage.
Demonstrated ability to work collaboratively in a diverse team setting, embracing a culture of inclusion and mutual respect.
