Job Description

The MEP Document Controller plays a crucial role in managing and maintaining all records relating to the mechanical, electrical, and plumbing aspects of construction projects. In this integral position, you will be responsible for overseeing document storage, retrieval, and management processes to ensure that project teams have access to the most up-to-date and accurate information. This role demands a high level of organization, excellent attention to detail, and expert knowledge of document management systems. You will liaise with engineers, project managers, and other stakeholders to coordinate document flow, manage version control, and ensure adherence to company and regulatory standards. The MEP Document Controller ensures the integrity and accessibility of critical data, aiding smooth and efficient project execution.


Responsibilities

  • Maintain an organized system for document creation, storage, and retrieval processes.
  • Ensure all MEP documents comply with industry and company standards and regulations.
  • Coordinate document inflow and outflow with relevant project stakeholders effectively.
  • Oversee version control to ensure that team members access the latest document versions.
  • Conduct regular audits to verify document accuracy and completeness within the system.
  • Liaise with engineers and project managers to address document-related inquiries.
  • Track and manage document amendments and issue notices in a timely manner.
  • Provide training to staff on the company’s document management procedures and software.
  • Prepare reports on document status, progress, and discrepancies for management review.
  • Assist in developing new document control procedures and policies to enhance efficiency.
  • Ensure sensitive documents are secured and accessed only by authorized personnel.
  • Work collaboratively with cross-functional teams to maintain effective communication.

Requirements

  • A bachelor’s degree in business administration, engineering, or a related field.
  • Demonstrated experience in document management within construction or MEP sectors.
  • Proficiency in document management software and Microsoft Office Suite is essential.
  • Strong organizational skills with keen attention to detail and accuracy.
  • Excellent communication and interpersonal skills to work with diverse teams.
  • Ability to prioritize tasks and work under pressure to meet tight deadlines.
  • Familiarity with regulatory and compliance requirements in the construction industry.
