Job Description

The Medical Receptionist is the initial point of contact for patients in a healthcare setting and plays a critical role in ensuring the smooth operation of medical facilities. This position requires excellent interpersonal skills, attention to detail, and the ability to multitask in a fast-paced environment. The Medical Receptionist will be responsible for managing the front desk activities, including greeting patients, scheduling appointments, and handling phone inquiries. They must ensure all patients are welcomed warmly and receive the information they need regarding their appointments and medical care. The role demands a polite and professional demeanor while maintaining confidentiality concerning patient records and communications. Proficiency in using medical office software and a good understanding of medical terminologies will be advantageous for a Medical Receptionist.


Responsibilities

  • Greet patients and visitors with a warm and professional demeanor.
  • Schedule patient appointments efficiently and accurately to optimize time.
  • Manage multiple phone lines and screen calls appropriately for medical urgency.
  • Coordinate with medical personnel to ensure effective patient flow and service.
  • Perform data entry tasks for new patients and update existing patient information.
  • Ensure the waiting area is tidy, organized, and comfortable for patients.
  • Process patient payments and manage billing inquiries effectively and politely.
  • Handle patient records in compliance with healthcare laws and confidentiality guidelines.
  • Assist medical staff with special projects, such as patient outreach and follow-up.
  • Update and manage the facility’s calendar for meetings and appointments.
  • Ensure all supplies for the front office are stocked and order as necessary.
  • Support the execution of any additional administrative tasks as required by management.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Previous experience in a medical or healthcare setting is advantageous.
  • Exceptional organizational skills with the ability to multitask effectively.
  • Strong communication skills, both written and verbal, are essential.
  • Proficiency in using office equipment and medical software applications.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Friendly and helpful attitude towards patients and colleagues.
  • Attention to detail to ensure accurate patient scheduling and record management.
  • Capability to work both independently and collaboratively in a team environment.
  • Flexibility to work during the clinic’s operational hours, including weekends if required.
