Job Overview:

The Materials Specialist applies their conceptual knowledge of Material Management and, with a moderate level of guidance and direction from colleagues and leadership, is responsible for solving a range of straightforward Material Management problems. They will be responsible for analyzing possible solutions using standard procedures and building knowledge of the company, processes, and customers. The Materials Specialist understands key business drivers and applies this knowledge to solve problems in straightforward situations by analyzing possible solutions using technical experience, judgment, and precedents.

Responsibilities

Key Tasks and Responsibilities:

  • Identifying the Purchase Orders need E-SPIR from Procurement Register
  • Get concurrence from Engineering & ADNOC
  • Initiate KOM meeting with ADNOC Proponents and different stake holders
  • Prepare SPIR execution Procedure & SPIR Submission schedule to COMPANY
  • Include SPIR doc Requirements in PURCHASE orders and include in Supplier Data Register
  • Follow up with Engineering and Package managers for timely approval of Key Documents that impacts SPIR submission
  • Shall Expedite the SPIR forms from Vendors
    • Get vendors to prepare SPIRs in line with ADNOC standards, project specifications, and vendor data.
    • Ensure completeness of:
    • Equipment tag numbers
    • Manufacturer details
    • Spare part descriptions
    • OEM part numbers
    • Recommended quantities (commissioning & 2-year operation)
    • Categorize spares:
    • Commissioning spares
    • Operational spares
    • Insurance / capital spares

  • Vendor Data Review & Coordination
  • Review vendor documents (datasheets, manuals, drawings) for spare parts.
  • Liaise back with OEMs/vendors to obtain missing or unclear spare parts data.
  • Ensure alignment between vendor recommendations and project requirements.
  • Interface with Engineering & Procurement
  • Coordinate with:
  • Mechanical / Electrical / Instrumentation engineers
  • Procurement & Supply Chain teams
  • Clarify technical details of spares and interchangeability.
  • Data Management & Systems
  • Upload and maintain SPIR data in
  • ADNOC e-Systems (AIN – Asset Intelligence Network)
  • Ensure proper document control, revision tracking, and version management.
  • Updating ADNOC AIN System for SPIR and follow up review and approvals
  • Review & Approval Process
  • Submit SPIRs for internal and client (ADNOC/PMC) approval.
  • Address review comments and ensure timely closure.
  • Maintain SPIR status tracking (submitted / approved / pending), and submit the same to Company for bi-weekly meetings
  • Follow up with SCM for Spares purchase orders once blanket orders received from COMPANY.
  • Expedite the delivery of spares , arrange inspection on site and handover to COMPANY warehouse .
  • Maintain backups of all approvals, DN notes for billing to COMPANY .
  • Updating DN notes in SMAT system and follow up GRN .
  • Assist in final handover of all spares with Comm Team and Contracts .
  • Project Closeout Support
  • Ensure final approved SPIRs are included in:
    • Final documentation dossiers
    • O&M manuals
  • Support handover to operations and maintenance teams.

Qualifications

Essential Qualifications and Education:

  • Bachelor’s degree in engineering (preferred)
  • 5–10 years experience in oil & gas EPC projects
  • Minimum 2–3 years direct SPIR handling experience in ADNOC or similar projects
    • PMC / EPC contractor environment exposure
    • Exposure to:
      • Vendor document review cycles
      • Procurement workflows
Key Skills

Strong knowledge of:

  • Rotating & static equipment spares
  • Instrumentation and electrical components

Familiarity with:

  • SAP / ERP systems
  • Material coding & cataloguing

Good coordination and communication skills

Detail-oriented with strong documentation control ability

KPIs / Performance Indicators

  • Timely submission of SPIRs
  • Zero/low rejection rate from ADNOC/PMC
  • Accuracy of spare parts data
