Job Description
The Logistics & Shipping Coordinator will be responsible for managing inbound and outbound shipment coordination, shipping documentation, warehouse logistics support, and customs related documentation activities for manufacturing and operational projects managed by SCM.
Key Responsibilities
Inbound Logistics Coordination
- Coordinate receipt of tools, materials, and equipment into warehouse.
- Review supplier shipping documents including: – Commercial Invoice – Packing List – Delivery documentation
- Coordinate with suppliers and freight forwarders for shipment arrivals.
- Support creation and tracking of: – Delivery Advice (DA) – Receipt of Equipment (ROE) – Bill of Entry (BOE) – Gate Pass (GP)
- Maintain shipment and customs documentation records in company systems and trackers.
- Coordinate with warehouse/store personnel for material receipt and inspection status.
Outbound Logistics & Shipping Documentation
- Prepare shipping documentation for international and local dispatches.
- Prepare and verify: – Packing Lists – Commercial Invoices – Delivery Advice (DA) – Export shipping documents – HS Code Summary
- Coordinate dispatch activities with warehouse, workshop, and freight providers.
- Ensure shipment documentation accuracy before dispatch.
- Support shipment booking and coordination with logistics providers.
- Follow up on shipment movement and delivery status.
Customs & Compliance Support
- Coordinate BOE and customs documentation with clearing agents.
- Maintain proper records of import/export transactions.
- Ensure shipping documents comply with UAE and destination country requirements covering MEA, Europe & USA region.
- Support audits and documentation traceability requirements.
Knowledge, Skills & Qualifications
- 3–7 years’ experience in logistics, shipping coordination, or supply chain operations.
- Experience in manufacturing, oil & gas, or industrial environment preferred.
- Familiarity with import/export documentation and customs processes in UAE & Globally.
- Experience handling international shipments and freight coordination.
- Knowledge of JAFZA logistics procedures is a must.
- Good knowledge of shipping and logistics documentation.
- Familiar with ERP systems (IFS preferred).
- Strong Excel and documentation management skills.
- Ability to coordinate multiple shipments simultaneously.
