Job Description

The Lead Document Controller plays a critical role in managing and overseeing the organization's document management processes. This position is responsible for ensuring the accuracy, consistency, and proper handling of documents throughout their lifecycle from creation to archiving. The Lead Document Controller will coordinate with various departments to implement document control systems and maintain the integrity of documentation standards. As the primary point of contact for all document-related activities, you will work to streamline operations, provide training on document management tools, and coordinate with project teams to meet documentation needs. A detail-oriented professional with exceptional organizational skills, the Lead Document Controller will lead a team to ensure compliance with industry standards and internal policies is met consistently.


Responsibilities

  • Oversee and manage the organization's document control processes and systems.
  • Develop and maintain document management policies and procedures ensuring compliance.
  • Coordinate with various departments to ensure accurate document flow and control.
  • Implement document control systems to streamline operations and enhance efficiency.
  • Train and support staff on effective use of document management systems and tools.
  • Ensure the accuracy and integrity of all documents maintained within the system.
  • Monitor and review the document lifecycle from creation to archiving and disposal.
  • Maintain repositories of project records and ensure documents are easily retrievable.
  • Coordinate and lead audits to assess document control compliance and improvements.
  • Compile and analyze document control performance reports and metrics.
  • Facilitate communication between project teams to ensure comprehensive documentation support.
  • Identify and implement best practices in document management within the industry.

Requirements

  • Bachelor’s degree in business, management, or a related field preferred.
  • Minimum of five years experience within document control or management roles.
  • Proven leadership experience with the ability to manage and guide teams effectively.
  • Strong proficiency in document management software and office applications.
  • Exceptional organizational skills with an eye for detail and accuracy.
  • Excellent communication skills to collaborate with various departments and stakeholders.
  • Ability to work in a fast-paced environment and manage multiple priorities.
