Job Description

The Lead Document Controller is a pivotal role within any organization that deals with a significant volume of documents and data management. The individual in this position ensures the efficient processing, storage, and retrieval of critical documents, maintaining the organization's standards of accuracy, timeliness, and clarity. You will work closely with various departments to support document management needs, providing training and guidance to junior staff and ensuring compliance with company policies and procedures. This position demands a highly organized individual with strong attention to detail, excellent communication skills, and the ability to lead and motivate a team. You will be responsible for developing and implementing strategies for document control that enhance productivity and guarantee compliance with industry standards and governmental regulations.


Responsibilities

  • Develop and implement document control procedures and policies for improved efficiency.
  • Ensure the accurate and timely processing and storage of all documents.
  • Lead a team of document controllers to achieve department objectives.
  • Interface with various departments to ensure document needs are met efficiently.
  • Train new staff on document control systems and procedures effectively.
  • Regularly audit document control processes to maintain high-quality standards.
  • Ensure all documents comply with company standards and regulatory requirements.
  • Coordinate with external consultants and contractors on document management issues.
  • Prepare reports and presentations on document control activities and processes.
  • Monitor and manage the document control budget and resources efficiently.
  • Implement measures to improve document retrieval times and accuracy consistently.
  • Support project teams with document-related inquiries and troubleshooting.

Requirements

  • Bachelor's degree in business administration, information science, or a related field.
  • Minimum of 5 years of experience in document control or records management.
  • Previous experience managing a team of document controllers is preferred.
  • Strong understanding of document management software and systems is required.
  • Excellent communication and interpersonal skills for diverse work environments.
  • Exceptional attention to detail and organizational skills are a must.
  • Ability to work under pressure and handle multiple projects simultaneously.
