Job Description

As a Lead Document Controller with the job code 13N25, you will play a pivotal role in managing and overseeing the document management function of our organization. You will be responsible for analyzing and implementing document control processes and systems to ensure the safekeeping, accuracy, and integrity of all company documents. You will lead a team of document controllers, providing guidance, training, and support to ensure their efficiency and effectiveness. Your role is critical in facilitating seamless collaboration among various departments by ensuring that all documentation is organized, up-to-date, and available to authorized personnel. You will work closely with project managers, engineers, and other stakeholders to ensure that document handling procedures and practices meet the company's standards and industry regulations.


Responsibilities

  • Lead and manage the document control team to ensure optimal performance and output.
  • Develop and implement efficient document management systems and processes.
  • Ensure that all documents are correctly categorized, sorted, and filed according to company policies.
  • Review and update document control procedures to align with organizational and industry standards.
  • Coordinate with various departments to facilitate access to necessary documents when required.
  • Train and mentor document control staff, providing guidance on best practices and methodologies.
  • Conduct regular audits of the document management system to ensure compliance and accuracy.
  • Facilitate the seamless transfer of documents from one project phase to another.
  • Monitor and control access to documents to maintain confidentiality and security.
  • Assist in retrieval of documents in response to external or internal audits or reviews.
  • Update document tracking systems and maintain accountability of document flow within the organization.
  • Provide reports and summaries of document control activities to upper management.

Requirements

  • Bachelor’s degree in Information Management, Business Administration, or a related field.
  • A minimum of 5 years’ experience in document control or a similar management role.
  • Strong understanding of document management systems and electronic archiving software.
  • Excellent leadership skills, with experience in managing and developing teams.
  • Exceptional attention to detail and organizational abilities in managing documents.
  • Effective communication skills for interaction with various departments and stakeholders.
  • Ability to manage multiple projects or tasks in a fast-paced environment.
