About the Role

The Junior Accounts Assistant reports to the Accounts Team Leader and supports the team with a variety of complex client accounting matters. Its tactical responsibilities feed one larger objective: to manage the daily operations of the Billing, Credit control and when required other Accounts Receivable functions, including accurate and timely processing of client accounting matters. This support function role provides quality internal service experiences to the firm in a polite and friendly manner ensuring confidentiality and professionalism at all times. It will require balancing multiple and changing priorities in a fast-paced environment. Primary responsibilities include: 

Billing

  • Raising legal invoices per instructions received by the lawyer team and cross checking them against any additional specialist billing requirements i.e. if VATable and if the client group has any pre-approved discounts and sending them out to client thereafter. Additional billing of other items such as retainers for both legal and corporate services or actual fees and disbursements for the latter may also be assigned occasionally as required
  • Aiding in the Annual Returns project by ensuring 100% accuracy in billing items prior to posting on the accounting system and once finalised coordinating with the team to send these out in the most efficient manner
  • Ensuring any billing queries given to you are resolved within 24 hours

Credit Control

  • Ensuring clients are chased at regular intervals for outstanding invoices to bring down debtor days for the office for both legal and MCS fees from their first issuance email and escalating to the Team Leader if there is material AR that becomes aged
  • Ensuring clients are chased repeatedly for payment highlighting that their attention be directed to forthcoming government deadlines e.g. CIMA, ROC, BVI Registrar
  • Communicate known allocation details to the Leeds AccountsHelp team for payments received and unapplied or requesting the information from the client

Accounts Receivable

  • Aiding the team with all required tasks to keep the accounts in order and in accordance with Accounting and company procedure including but not limited to Credit Applications, Credit Application Reversals, Credit Transfers, cancellation of APs for hard disbursements for AR fees in the Accounts Payable, etc

General

  • Assisting the Accounts Team with any other ad hoc duties that arise

Other Duties

  • Act as a Brand Ambassador for Maples events and join the accounts team in representing Maples at local events and community initiatives
  • Assist all departments and offices within the Maples Group for shared or interconnected processes and procedures as may be assigned from time to time

EXPERIENCE

  • Strong organisation, interpersonal, management and communication skills, both written and verbal
  • Ability to interact with all levels of staff in a professional manner is required
  • Attention to detail is a must
  • Effective problem solving skills and ability to remain calm and polite in demanding situations
  • Effective time management skills and ability to multi-task, whilst maintaining accuracy is essential
  • An understanding of human nature and utter respect for confidentiality is required
  • A standard level of Microsoft Office is required and the ability to adapt quickly to using new software is an advantage
  • Working knowledge of MS Office Suite, Aderant and iManage would be an advantage
