Role Summary
The Procurement Sourcing Administrator supports the end-to-end sourcing and procurement process by managing tender documentation, coordinating with suppliers, and ensuring data accuracy within the Coupa platform. This role ensures compliance with procurement policies, maintains catalogue integrity, and facilitates seamless collaboration between internal stakeholders and suppliers to drive efficient and transparent procurement operations.
ROLE PROFILE
Manage end-to-end tender administration in Coupa, ensuring all documentation is accurate, complete, and compliant with internal policies and regulatory requirements.
Track tender timelines, milestones, and deadlines, proactively coordinating with stakeholders to ensure timely submissions and approvals.
Perform initial compliance checks on supplier submissions, ensuring all mandatory documents and eligibility criteria are met.
Act as the central coordination point between suppliers, procurement, legal, and internal teams, facilitating smooth communication and sourcing activities.
Support suppliers with Coupa processes, including tender participation, document uploads, and catalogue management, while resolving system-related queries.
Maintain accurate sourcing data and documentation within Coupa, including RFP/RFQ records, evaluations, contract execution tracking, and audit-ready logs.
Administer and validate supplier catalogues, ensuring accuracy in pricing, product details, and alignment with contractual terms and procurement strategies.
Provide system support and drive continuous improvement by identifying process gaps, enhancing workflows, ensuring governance compliance, and supporting audits.
Requirements
Bachelor’s degree in Business Administration, Supply Chain, Finance, Information Systems, or a related field (or equivalent practical experience).
0–2 years of relevant experience in procurement, supply chain, finance operations, or system administration (including internships or trainee roles).
Basic knowledge of procurement processes and supplier management principles.
Familiarity with ERP or procurement systems; exposure to Coupa is advantageous but not essential.
Proficiency in Microsoft Excel with strong data management and basic analytical skills.
Effective communication, coordination, and organisational abilities suited for an entry-level operations environment.
