Job Description

The HR Assistant plays a crucial role in the human resources department of an organization, acting as a key support figure for the HR team. This position involves a wide range of duties that contribute to the smooth functioning and efficiency of HR processes. The HR Assistant is responsible for ensuring that all administrative tasks are carried out effectively, managing employee records, and handling communications between various departments. They also assist with recruitment, onboarding of new employees, and help in maintaining a positive workplace culture. The ideal candidate for this role has strong organizational skills, a keen attention to detail, and the ability to handle sensitive information with discretion. By effectively managing tasks such as scheduling interviews, coordinating employee files, and assisting in HR projects, the HR Assistant supports the overall goals of the HR department.


Responsibilities

  • Assist in recruitment processes by scheduling interviews and coordinating with candidates.
  • Maintain accurate and up-to-date employee records and databases.
  • Support onboarding processes and ensure new employees have necessary resources.
  • Coordinate HR projects, meetings, training sessions, and seminars.
  • Address and resolve basic employee inquiries regarding HR policies and procedures.
  • Prepare HR documents like employment contracts and new hire guides.
  • Manage and track attendance, leave requests, and staff absences.
  • Assist in payroll preparation by providing relevant data and documentation.
  • Support the organization of employee engagement activities and events.
  • Ensure HR activities comply with labor laws and regulations.
  • Assist in performance management processes, gathering feedback and documentation.
  • Maintain confidentiality of all HR-related information and communications.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Proven experience as an HR Assistant or similar human resources role.
  • Excellent organizational and time management skills are essential.
  • Strong ability to communicate effectively both verbally and in writing.
  • Familiarity with HR software and databases, such as HRIS or ATS systems.
  • Knowledge of labor legislation and regulations applicable to the organization.
  • High level of integrity, professionalism, and ability to handle sensitive information.
