Accommodate all new employees in staff accommodation as instructed by the Director of People & Culture, based on their accommodation entitlement.
Maintain accurate and up-to-date records of staff accommodation, including room allocations, occupancy, vacancies, staff locations, and furniture inventory for each apartment/room.
Manage external cleaners, security officers, contractors, and other service providers within the staff accommodation premises.
Receive and address colleagues’ complaints and concerns regarding staff accommodation, including required repairs and maintenance, and follow up with the relevant departments or personnel to ensure timely resolution.
Handle colleague welfare and concerns related to accommodation, rooms, and privacy.
Maintain up-to-date accommodation records clearly indicating occupied and vacant spaces.
Report any incidents occurring within the staff accommodation immediately to the People & Culture Department.
Maintain and update inventory lists for each apartment, ensuring they are signed by the occupants.
Obtain new employees’ signatures on the inventory list and complete the relevant check-out/clearance documentation for employees who separate from the hotel or move out of staff accommodation.
Ensure the standard cleanliness and upkeep of staff accommodation public areas, including the roof, pump room, and other common areas, as required by Hotel Management.
Maintain up-to-date records of all contracts related to leased staff accommodation and ensure all renewal documentation is completed in a timely manner.
Follow up on water and electricity clearance certificates for vacated apartments and complete the necessary procedures for newly rented apartments.
Coordinate the installation and disconnection of official telephone services in staff apartments whenever apartments are occupied or vacated.
Follow up on the renewal of all staff accommodation contracts as instructed by the Director of People & Culture.
Monitor the expiry dates of building lease agreements and coordinate the renewal process in a timely manner.
Ensure fire and safety equipment within the staff accommodation is maintained and regularly checked in coordination with the Security Manager.
Coordinate the return of apartment furniture, bedding, and other hotel assets and complete the relevant check-out documentation for employees who separate from the hotel or move out.
Conduct monthly staff accommodation inspections in coordination with Security and the People & Culture Manager/Director.
Ensure every new joiner receives a warm welcome and that welcome amenities are prepared and provided in accordance with hotel standards.
Coordinate the pickup of all new joiners and the drop-off of separated employees, as required.
Ensure the regular and timely submission of accommodation occupancy reports and any other reports assigned by the Director or Manager of People & Culture.
