Job Description

As a Guest Service Officer specializing in Reservations, you will be the first point of contact for potential guests, ensuring a seamless reservation experience and contributing to the overall guest satisfaction of our establishment. You will manage reservation inquiries with precision, create welcoming experiences through personalized interactions, and ensure that each guest receives accurate and thorough information. Your role will be pivotal in setting the tone for the guest’s stay, helping convert inquiries into loyal, satisfied guests. You'll balance the art of hospitality with keen attention to detail, using your expertise to manage booking systems efficiently and maintain clear communication channels across departments.


Responsibilities

  • Respond promptly to reservation inquiries and requests through phone, email, or chat.
  • Maintain accurate records of reservations and guest information in the booking system.
  • Provide personalized service to guests during the reservation process and beyond.
  • Liaise with other departments to ensure reservation details are communicated accurately.
  • Monitor room availability and allocate rooms in alignment with guest preferences.
  • Assist guests with special requests or accommodations to enhance their stay experience.
  • Handle any reservation alterations or cancellations efficiently and professionally.
  • Upsell additional services and offers to maximize revenue opportunities.
  • Ensure compliance with all reservation policies and procedures at all times.
  • Address guest concerns and resolve issues with empathy and a focus on service recovery.
  • Prepare daily, weekly, and monthly reports on reservation statistics and performance.
  • Collaborate with the marketing team to launch promotional campaigns and offers.

Requirements

  • Proven experience in hospitality or customer service sectors with reservation duties.
  • Exceptional communication skills, both verbal and written, are essential.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency with reservation and booking software platforms is highly desirable.
  • Ability to stay calm and composed during high-pressure situations or guest interactions.
  • Detail-oriented mindset with excellent problem-solving and decision-making abilities.
  • Flexibility to work varied shifts, including weekends and holidays, as needed.
