Why does this role exist?
The Executive Assistant is essential for supporting the government contracting and capture efforts by conducting detailed research, managing complex administrative tasks, and facilitating smooth communication and scheduling. This role enables leadership to focus on strategic business growth and client engagement by providing timely, well-organized operational and research support. The assistant ensures critical contract and company intelligence is accurately aggregated and presented, underpinning informed decision-making in a fast-paced environment.
The Impact you’ll make
Government Contract Research & Analysis- Conduct comprehensive online research on government contracts and companies using platforms such as GovWin, sam.gov, and FPDS
- Aggregate findings into detailed spreadsheets and articulate insights in presentations
- Provide ongoing research support with a focus on IT and US government contracting knowledge
Administrative & Scheduling Support- Manage executive email inbox and calendar scheduling with professionalism and prioritization
- Oversee administrative workflows including invoice preparation and follow-up on payments
Data Presentation & Reporting- Build and design reports and presentations using Microsoft PowerPoint and Excel
- Synthesize complex information into clear, actionable deliverables for executive use
Communication & Coordination- Facilitate smooth coordination between internal teams and external stakeholders
- Maintain confidentiality and discretion in all communications and documentation
Skills, Knowledge and Expertise
Required:- Demonstrated experience conducting research on GovWin, sam.gov, FPDS, or similar government contract platforms (non-negotiable)
- Proficient with Microsoft PowerPoint and Excel for data analysis and presentation creation
- Strong understanding of US government contracting processes, especially in IT sectors
- Proven organizational skills in managing executive calendars and email communications
- Experience handling invoicing and payment follow-ups
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
