Job Description

We are seeking an enthusiastic and professional Front Office Receptionist to join our thriving organization. As the first point of contact for our clients, partners, and visitors, the Front Office Receptionist plays a crucial role in representing our company's image. The ideal candidate will have exceptional communication skills, and a friendly, approachable demeanor, and will thrive in a fast-paced environment. This position is responsible for ensuring all visitors receive a warm welcome and assisting with a range of administrative tasks to support our staff. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office in a friendly manner.
  • Direct visitors to the appropriate person and office with clear instructions.
  • Answer, screen, and forward incoming phone calls with proficiency and courtesy.
  • Ensure the reception area is tidy and presentable, with all necessary materials.
  • Provide basic and accurate information via phone, email, and in-person queries.
  • Receive, sort, and distribute daily mail and deliveries efficiently and promptly.
  • Maintain the office security by following safety procedures and controlling access.
  • Order front office supplies and keep an inventory of stock regularly checked.
  • Coordinate front-desk activities, including mail, scheduling meetings, and appointments.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist in the preparation of meeting and training rooms as required.
  • Handle customer inquiries, complaints, and provide assistance as needed professionally.

Requirements

  • High school diploma or GED; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Professional attitude and appearance with strong interpersonal skills.
  • Excellent written and verbal communication abilities are mandatory.
  • Ability to be resourceful and proactive when issues arise efficiently.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
