Job Description

A Front Office Executive serves as the first point of contact for the company, representing the brand and providing a welcoming experience for visitors and clients. This role is pivotal in ensuring smooth operations within the office and requires excellent organizational and communication skills. The Front Office Executive is responsible for managing the reception area, handling correspondence, and providing administrative support as needed. A professional demeanor, attention to detail, and the ability to multitask efficiently are crucial for success in this role. The ideal candidate should be proactive, with a customer-oriented approach and the capability to handle a variety of tasks in a fast-paced environment.


Responsibilities

  • Greet and welcome visitors, ensuring they feel appreciated and comfortable.
  • Answer, screen, and forward incoming phone calls to the appropriate departments.
  • Maintain the front desk and reception area, keeping it organized and tidy.
  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Provide basic and accurate information in-person and via phone or email.
  • Coordinate with various departments to assist in various clerical tasks.
  • Prepare and serve refreshments to clients and staff as necessary.
  • Manage and maintain office supplies inventory and place orders when needed.
  • Maintain and update records and databases with personnel, financial, and other data.
  • Ensure conference rooms and meeting areas are properly set up and functioning.
  • Assist in scheduling meetings and maintaining calendars for senior staff.
  • Handle sensitive information and maintain the confidentiality of proprietary data.

Requirements

  • High school diploma or equivalent is required; an associate degree is preferred.
  • Proven work experience as a Front Office Executive or similar role is preferred.
  • Proficiency in Microsoft Office Suite and office management software is essential.
  • Excellent communication and interpersonal skills with a focus on service excellence.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Attention to detail, with strong problem-solving and decision-making abilities.
  • Ability to handle sensitive and confidential information with discretion.
