The Role

We are seeking a professional, proactive, and client-focused Front of House Assistant in our Dubai office to serve as the first point of contact for clients, visitors, and employees. The successful candidate will be responsible for delivering an exceptional front-of-house experience, ensuring the smooth operation of meeting rooms and office facilities, coordinating administrative services, and supporting business development activities and events.

Duties And Responsibilities

Front of House (FOH) & Client Services


  • Meeting and greeting clients with a smile in a friendly, professional and courteous manner.
  • Looking after all internal and external clients when in FOH areas-providing directions, support and care.
  • Working with extremely confidential information.
  • Updating and maintaining client details on the CRM system.
  • Maintaining the FOH area at all times-restocking literature, newspapers and making sure the areas are tidy.
  • Act as the primary point of contact for the One Za'abeel building reception.
  • Answer and manage incoming telephone calls and direct enquiries appropriately.

Meeting Room & Facilities Management


  • Manage meeting room bookings for Mishcon and MDR Mayfair.
  • Coordinate the setup and breakdown of meeting rooms, working closely with cleaning and facilities staff.
  • Ensure meeting rooms are maintained to a high standard and are fully prepared for client and internal meetings.
  • Serving refreshments to clients.
  • Be fully proficient in meeting room technology and audiovisual equipment.
  • Set up and coordinate Microsoft Teams meetings and provide basic technical support when required.

Office Operations & Administration


  • Order, monitor, maintain, and replenish reception and staff pantry supplies, including beverages, biscuits, fruit, and related consumables.
  • Manage office stationery inventory and place orders as required.
  • Coordinate all courier and shipping arrangements, including DHL, FedEx, Aramex, and other service providers.
  • Handle catering orders for internal and client meetings.
  • Validate visitor parking and maintain accurate records for invoicing purposes.
  • Use the One Za'abeel Loading Management System to arrange building permits for deliveries and Annual Maintenance Contracts (AMCs).
  • Work with suppliers and maintenance companies as and when required.

Health, Safety & Compliance


  • Support office health and safety initiatives and ensure compliance with workplace procedures.
  • Undertake First Aid and Fire Safety training and certification if required.

Office Support


  • Assist the Business Development Manager with a range of business development activities.
  • Maintaining a list of firm branded items and regularly updating BD manager with a stock list.
  • Provide administrative and logistical support for client events, networking functions, and marketing initiatives.
  • Support the coordination and execution of internal and external events.
  • Assist PAs with administration duties such as DLAD training bookings.

Skills

Skills, Experience and Attributes


  • Previous experience in Reception, Front of House, Office Coordinator, or Administrative role.
  • Excellent communication and interpersonal skills with a strong customer service mindset.
  • Professional appearance and demeanor.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Experience coordinating meetings, facilities, and office logistics.
  • Ability to work independently and collaboratively in a fast-paced professional environment.
  • Highly personable and professional.
  • Detail-oriented with excellent time management skills.
  • Proactive and solution-focused approach.
