Job Description

As a Front Desk Receptionist, you will be the face and voice of our company, playing a crucial role in maintaining a welcoming environment and providing exceptional service to our clients, visitors, and employees. Your main responsibility will be to manage the front desk area efficiently, ensuring that all visitors and calls are handled promptly and professionally. You will respond to inquiries over the phone and in person, directing them to the appropriate departments or personnel. Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer, screen, and forward incoming phone calls accurately and promptly.
  • Ensure the front desk area is tidy and presentable, with all necessary materials.
  • Receive, sort, and distribute daily mail and deliveries to relevant departments.
  • Provide accurate information in response to inquiries about company services.
  • Manage visitor logbooks and maintain security by monitoring access control.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist in setting up meeting spaces with necessary resources and refreshments.
  • Coordinate with office staff to ensure effective communication and task handoff.
  • Handle basic administrative duties such as data entry and filing as needed.
  • Respond to email inquiries and direct them to appropriate personnel promptly.
  • Support the office team in maintaining corporate databases and directories.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience as a front desk receptionist or in a similar role.
  • Professional appearance and excellent verbal communication skills required.
  • Familiarity with office equipment and basic computer skills are necessary.
  • Strong organizational and multitasking skills to manage multiple responsibilities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Customer service orientation and attention to detail in a fast-paced environment.
