Job Description

As a Front Desk Receptionist, you will be the first point of contact for our company, greeting both our esteemed clients and visitors as they arrive at our office. Your primary role will involve managing the reception area, ensuring it is tidy and welcoming, while also providing administrative support across the organization. You will handle the flow of people through the business, and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. Your professional attitude, combined with an approachable demeanor, will ensure the effective communication between our guests and the internal team. This role is integral to maintaining our brand’s image and fostering a positive experience for everyone who enters our premises.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as needed.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries accordingly.
  • Order front office supplies and keep inventory of stock regularly.
  • Schedule and coordinate meetings and appointments as required.
  • Perform other clerical receptionist duties such as filing, photocopying, and transcribing.
  • Handle customer inquiries and make travel, catering, and equipment arrangements.
  • Ensure office security by following safety procedures and controlling access via the reception desk.
  • Update calendars and schedule meetings efficiently and effectively.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Hands-on experience with office equipment, including printers and fax machines.
  • Solid written and verbal communication skills are essential.
  • Ability to be resourceful and proactive when issues arise unexpectedly.
  • Excellent organizational skills and the ability to multitask comfortably.
  • High school degree; additional certification in Office Management is a plus.
