The Front Desk Executive is a pivotal role in managing the first impression of any organization. An integral part of the administrative team, the Front Desk Executive manages telephone communication, handles guest inquiries, and provides information about the organization. Responsibilities

  • Greet and welcome clients, visitors, and employees with a professional demeanor.
  • Manage incoming calls, route them to appropriate departments, and take messages.
  • Handle inquiries efficiently, providing accurate information about the company.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Coordinate appointments, meetings, and reservations with the internal scheduling system.
  • Assist in the preparation and organization of company events and meetings.
  • Process incoming and outgoing mail, courier deliveries, and take responsibility for any necessary documentation.
  • Oversee security procedures, including issuing visitor badges and maintaining logs.
  • Compile and maintain records of office activity and point-of-contact lists.
  • Assist with administrative tasks, including filing, photocopying, and faxing documents.
  • Implement company policies and procedures related to visitor and client management.
  • Provide excellent customer service and support to enhance the client and visitor experience.

Requirements

  • High school diploma or equivalent educational qualification is required.
  • Minimum of two years of experience in a front desk or administrative role.
  • Strong written and verbal communication skills are a must.
  • Proficiency in office software such as MS Office Suite (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities, able to prioritize work efficiently.
  • Professional demeanor with a friendly and positive attitude towards guests.
  • Ability to work independently and collaboratively within a team environment.
