Job Description

The Front Desk Executive plays a crucial role in the first impression that guests and visitors have of the organization. They are the face of the company, responsible for greeting visitors, managing phone calls, and addressing inquiries, thus ensuring efficient and effective communication within the business environment. This position requires someone who is approachable, organized, and capable of handling multiple tasks simultaneously. The Front Desk Executive must possess excellent communication skills, both in person and over the phone, to facilitate seamless customer service and administrative support. The role involves supporting various administrative tasks while maintaining a welcoming and professional reception area.


Responsibilities

  • Welcome and greet all visitors warmly and provide assistance as needed.
  • Answer, screen, and forward any incoming phone calls while providing basic information.
  • Receive and sort daily mail and deliveries, handling them in a timely manner.
  • Maintain the reception area in a neat and presentable condition at all times.
  • Provide basic and accurate information in-person and via phone/email to clients and employees.
  • Ensure relevant documents and reports are created and filed/organized as needed.
  • Coordinate with other departments for various administrative or clerical tasks.
  • Ensure security by following procedures and controlling access to the premises.
  • Schedule meetings and appointments, and make travel arrangements when necessary.
  • Assist with various administrative tasks including copying, faxing, and filing documents.
  • Keep updated records of office expenses and costs to facilitate budget management.
  • Take and relay messages promptly and accurately to relevant individuals.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven work experience in a front office handling receptionist responsibilities is required.
  • Strong communication and interpersonal skills are essential for this role.
  • Proficient with Microsoft Office Suite and office equipment (e.g., fax machines, printers).
  • Ability to be resourceful and proactive when dealing with issues that may arise.
  • Professional appearance and a welcoming and positive attitude are mandatory.
  • Ability to organize, multitask, prioritize, and work under pressure is needed.
