Job Description

We are seeking an enthusiastic and professional Front Desk Executive to join our team and play a crucial role in ensuring the smooth operation of our front office. As the first point of contact for all visitors and clients, the Front Desk Executive will represent our company with a friendly and welcoming demeanor. This role involves managing incoming calls, coordinating schedules, and providing essential administrative support. The successful candidate will possess exceptional communication and organizational skills, and be adept at handling various inquiries with tact and efficiency. Responsibilities

  • Greet and welcome visitors with a warm and professional attitude.
  • Answer and direct phone calls to the appropriate departments or individuals.
  • Manage the company’s front desk operations, ensuring a tidy and professional appearance.
  • Coordinate and schedule appointments for clients and management staff efficiently.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Provide basic and accurate information to inquiries in person, via phone, or email.
  • Receive, sort, and distribute daily mail and deliveries in a timely manner.
  • Assist in the planning and execution of office events and meetings as needed.
  • Handle administrative tasks such as data entry, filing, and document preparation.
  • Update and manage contact lists and notify personnel of visitor arrivals.
  • Ensure office supplies are maintained, including checking inventory and working with vendors.
  • Address and resolve customer service interactions promptly and professionally.

Requirements

  • High school diploma or equivalent; associate's or bachelor’s degree preferred.
  • Proven experience as a front desk representative, agent, or relevant position.
  • Familiarity with office machines such as printers, scanners, and fax machines.
  • Strong communication skills, both written and verbal, for effective interaction.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Excellent organizational skills with an ability to prioritize tasks effectively.
  • Customer service orientation with a problem-solving attitude is essential.
