Job Description

The Front Desk Attendant plays a critical role as the first point of contact in welcoming guests and visitors to an establishment. This position requires a personable and professional demeanor, as the attendant is responsible for creating a positive initial impression. The role involves managing a variety of tasks to ensure that the front desk runs smoothly and efficiently. Responsibilities include greeting guests, answering phone calls, handling inquiries, and managing bookings and appointments. A successful candidate will have excellent communication skills, a friendly and approachable personality, and the ability to handle diverse tasks in a busy environment. Attention to detail and the ability to manage sensitive information with discretion are also essential characteristics for this role.


Responsibilities

  • Greet guests and visitors warmly and direct them appropriately upon arrival.
  • Answer and direct incoming phone calls in a courteous manner.
  • Respond promptly to customer inquiries and resolve complaints professionally.
  • Schedule and manage appointments and bookings promptly and efficiently.
  • Maintain a clean and organized reception area at all times.
  • Process check-in and check-out for guests while verifying identification.
  • Collect and monitor incoming and outgoing mail and packages.
  • Assist with administrative tasks and provide clerical support as needed.
  • Perform daily audits of the front desk and resolve any discrepancies.
  • Provide accurate information regarding services and facilities of the establishment.
  • Ensure proper handling of confidential customer information and records.
  • Coordinate with other departments to ensure seamless customer service.

Requirements

  • High school diploma or equivalent qualification is mandatory for this role.
  • Previous experience in a customer service or front desk role preferred.
  • Strong communication skills and professional telephone etiquette are essential.
  • Proficiency in Microsoft Office Suite and related computer applications.
  • Excellent organizational skills and ability to multitask efficiently.
  • Ability to work effectively under pressure in a fast-paced environment.
  • Flexibility to work various shifts, including weekends and holidays.
