Job Description

The Facility Manager role is a pivotal position responsible for ensuring that all facilities and services are efficiently and effectively managed and maintained. The manager plays a crucial role in overseeing the day-to-day operations related to the physical infrastructure of the organization. The main focus is on maintaining a safe, comfortable, and functional environment for employees, clients, and visitors alike. This role involves coordinating maintenance, handling vendor negotiations, and ensuring compliance with health and safety regulations. The Facility Manager must possess strong organizational skills, excellent problem-solving capabilities, and the ability to manage resources effectively to enhance operational efficiency and minimize costs.


Responsibilities

  • Develop and implement maintenance strategies to ensure all facilities are in excellent condition.
  • Oversee the management of preventive maintenance schedules and repair services across facilities.
  • Supervise contractors and service providers to ensure services meet organizational standards.
  • Conduct regular inspections and audits to ensure compliance with health and safety regulations.
  • Prepare and manage the facility management budget to optimize resource allocation.
  • Negotiate contracts with vendors and suppliers to secure advantageous terms and prices.
  • Ensure proper documentation and record-keeping related to facility management activities.
  • Coordinate with security teams to maintain a safe and secure environment for occupants.
  • Implement energy-saving measures to improve environmental sustainability of facilities.
  • Facilitate emergency response planning and readiness among facility management teams.
  • Monitor and evaluate the performance of facilities staff and provide development opportunities.
  • Collaborate with management to align facility initiatives with organizational objectives.

Requirements

  • Bachelor's degree in Facilities Management, Business Administration, or a related field.
  • Minimum of 5 years of experience in facilities management or a similar role.
  • Strong knowledge of health, safety, and environmental regulations and compliance.
  • Excellent project management skills with the ability to handle multiple priorities.
  • Effective negotiation and communication skills with vendors and internal stakeholders.
  • Proficiency in facilities management software and Microsoft Office Suite is required.
  • Capability to lead a team and supervise maintenance staff efficiently.
