Job Description

An Exhibition Operation Manager plays a pivotal role in the planning, execution, and management of exhibitions, ensuring that all logistical and operational aspects run smoothly. This role requires a dynamic individual who is both detail-oriented and able to see the larger picture when organizing events that can attract thousands of attendees. The Exhibition Operation Manager works closely with various stakeholders, including event planners, vendors, exhibitors, and venue staff, to deliver successful exhibitions that meet client objectives and exceed attendee expectations. Additionally, the manager must handle budgets, schedules, and deadlines efficiently and effectively manage the unforeseen challenges that often arise in event management. Strong leadership, communication, and problem-solving skills are essential as this role demands the ability to work under pressure while maintaining a high standard of customer service.


Responsibilities

  • Plan and coordinate all operational activities for exhibitions from inception to completion.
  • Liaise with clients to understand their objectives and requirements for the event.
  • Develop and manage event budgets, ensuring costs are controlled and profits are maximized.
  • Coordinate with vendors, including caterers, decorators, and technology providers, for event services.
  • Oversee the logistics of setting up booths, stages, and other exhibition components.
  • Ensure that all health, safety, and compliance requirements are adhered to during the event.
  • Lead a team of staff and contractors to ensure efficient event operations.
  • Troubleshoot issues that arise during the event to ensure a seamless experience.
  • Develop emergency plans and contingencies for potential event disruptions.
  • Analyze post-event data and feedback to report on event success and suggest improvements.
  • Manage relationships with key stakeholders, strengthening partnership opportunities.
  • Monitor market trends and competitor activities to enhance exhibition strategies.

Requirements

  • Bachelor’s degree in Event Management, Business Administration, or a related field.
  • Proven experience in managing exhibitions, conventions, or large-scale events.
  • Strong understanding of event logistics, budgeting, and scheduling processes.
  • Excellent leadership capabilities with experience managing diverse teams.
  • Proficiency in event management software and relevant technology applications.
  • Exceptional communication and negotiation skills to liaise with stakeholders effectively.
  • Ability to work under pressure and manage multiple tasks simultaneously.
