Job Purpose:

The Executive Team Administrator will provide high-quality administrative and coordination support to the Executive Office, ensuring the smooth operation of day-to-day executive activities. Working closely with the Executive Assistant to the CEO, this role will assist with meeting coordination, travel logistics, documentation, and communication for the Executive Leadership Team (ELT), helping to drive efficiency, organization, and professionalism across the function.


Key Responsibilities:

  • Provide day-to-day administrative support to the Executive Assistant to the CEO and the Executive Team.
  • Assist with scheduling and coordinating meetings, along with agendas and required materials.
  • Support in maintaining and updating the Executive Team diaries in coordination with the EA.
  • Assist with travel bookings, accommodation, visas, and logistics for Executive travel.
  • Prepare detailed itineraries and ensure smooth travel execution.
  • Assist in the preparation and/or coordination of executive presentations, briefing packs, and business reports.
  • Maintain shared folders and ensure all relevant documents are accessible and up to date.
  • Coordinate logistics for Executive meetings, Townhalls, and key leadership events.
  • Prepare meeting rooms, arrange refreshments, and ensure required technology is in place.
  • Liaise with internal teams to follow up on action points and ensure timely completion.
  • Support special projects and initiatives assigned by the EA to CEO or the CEO’s Office.
  • Maintain professionalism and confidentiality at all times.


Required Experience, Skills & Qualification:

  • Minimum of 3 years of administrative experience supporting senior management or leadership teams.
  • Strong organisational and coordination skills with excellent attention to detail.
  • Professional demeanour and strong communication skills.
  • Proficient in Microsoft Office (Outlook, PowerPoint, Excel, Word).
  • High level of discretion and confidentiality.
  • Ability to manage multiple tasks and priorities under pressure.
  • Collaborative and proactive approach to teamwork.


Desirable Skills:

  • Experience working in corporate or multinational environments.
  • Exposure to supporting executive-level stakeholders.
  • Event coordination or project administration experience.
