Job Description

The role of an Executive Secretary is pivotal in ensuring the smooth operation of the executive's office and supporting top-level management. As an Executive Secretary, you will be the right hand to executives, managing significant tasks that require confidentiality, exceptional organizational skills, and proficiency in multitasking. You will serve as a primary point of contact for internal and external stakeholders, managing schedules, correspondence, and various administrative tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work independently or as part of a team. Your role will be crucial in helping executives use their time most effectively, contributing indirectly yet significantly to the business's success.


Responsibilities

  • Manage and organize the executive's schedule, including meetings, appointments, and travel arrangements.
  • Act as a liaison between the executive and internal or external parties with professionalism.
  • Prepare and edit correspondence, communications, presentations, and other documents as required.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives.
  • Oversee office administrative functions and impose office efficiency standards as needed.
  • Handle incoming and outgoing communication and manage the executive’s email correspondence.
  • Coordinate business meetings and events, ensuring all necessary arrangements are in place.
  • Maintain and organize records, files, and databases for easy access and retrieval.
  • Screen incoming calls and correspondence, and respond independently when possible.
  • Assist in the preparation of budgets and tracking of expenditures for the executive office.
  • Facilitate a positive communication flow between executives and employees to enhance productivity.
  • Ensure compliance with established corporate policies and protocols in executive dealings.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Proven experience as an Executive Secretary or in a similar high-level administrative role.
  • Exceptional organizational and multitasking abilities, with attention to detail and accuracy.
  • Strong proficiency in using office software, including Microsoft Office Suite and email platforms.
  • Solid interpersonal and communication skills, both verbal and written, are a must.
  • Discretion and confidentiality are essential attributes for handling sensitive information.
  • Ability to work independently with little supervision and in a team environment.
