Executive Assistant
Job Description
The Executive Assistant (EA) to the Group
CEO plays an important role in enabling the CEO to operate at maximum
effectiveness. This position requires exceptional organisational intelligence,
sound judgment, and the ability to anticipate needs in a fast‑moving environment.
The EA serves as a strategic partner, gatekeeper, and trusted advisor, ensuring
seamless execution of priorities across the Group.

Manage the
CEO’s calendar, ensuring optimal prioritisation of meetings, travel, and commitments.
·
Prepare
briefing materials, agendas, and follow‑up documentation for internal and
external engagements.
·
Coordinate
cross‑functional communication on behalf of the CEO, ensuring clarity,
alignment, and timely execution.
·
Handle
confidential information with absolute discretion.
·
Track key
initiatives, deadlines, and deliverables, ensuring the CEO is fully informed
and prepared.
·
Conduct
research, compile reports, and synthesise information to support
decision‑making.
·
Draft
high‑quality correspondence, presentations, and executive summaries.
·
Support
the CEO in board‑related activities, including meeting preparation and
documentation.
·
Manage
multiple company licence renewals and associated regulatory portals, ensuring
compliance and timely submissions.
·
Oversee
group medical, business, and related insurance policies, including renewals,
claims coordination, and documentation.
·
Manage and
maintain personal administrative tasks as required.
·
Coordinate
service schedules, renewals, registrations, and documentation for personal and
corporate assets.
·
Ensure
smooth handling of personal logistics while maintaining strict confidentiality.
·
Serve as
the primary point of contact for senior planning.
·
Represent
the CEO with professionalism and diplomacy in all interactions.
·
Facilitate
smooth communication flow between the CEO and internal teams.
·
Ensure
accurate and well informed briefing of corporate matters.
·
Plan and
coordinate travel itineraries.
·
Organise
executive meetings and high‑level events.
·
Ensure all
logistics are executed flawlessly and aligned with the CEO’s preferences.
·
Optimise
administrative processes to enhance efficiency and reduce operational friction.
·
Proactively
identify issues, propose solutions, and drive continuous improvement.
·
Support
the CEO’s personal administrative needs where appropriate.
·
Bachelor’s
degree in Business Administration, Management, Communications, or a related
field.
·
5+ years
of experience supporting C‑suite executives, preferably in a multinational or
group‑level organisation.
·
Exceptional
written and verbal communication skills.
·
Proven
ability to manage multiple priorities under pressure.
·
High
emotional intelligence, professionalism, and discretion.
·
Strong
proficiency in productivity tools and digital collaboration platforms.
·
Strategic

actions accordingly.
